Seeking:Administrative Assistant to the Chair of the Department of Geological Oceanography

Xiamen University envisions the development of a world-class program in Geological Oceanography with focus on interdisciplinary studies of sedimentary processes and the sedimentary record in China’s unique marginal seas. The Department of Geological Oceanography (DGO) has been officially established in June 2016, as part of the College of Ocean and Earth Sciences. To date, DGO already owns a strong team of faculties from different countries.

We invite applications for an administrative assistant to the department chair and vice-chair in all administrative matters as following.

Job Responsibilities:

Serve as assistant to the DGO chair and vice-chair in all administrative matters of the program, including but not limited to: 1) processing of official forms and approvals for the DGO; 2) creation and translation of official DGO communications; 3) maintaining budget and accounting of DGO financial transactions.  In addition the position supports the DGO faculty through: 1) assistance with production and editing of grant proposals, 2) scheduling and reserving facilities for all DGO activities and, 3) construction and regular updates to DGO website.

Job Requirements:

The successful candidate must have:

1)Excellent interpersonal and communication skills, especially written and spoken command of English and Chinese, and the ability to perform accurate and efficient bi-directional translations.

2)Proficiency in Microsoft office suite (i.e., Word, Excel, Power Point)

3)Familiarity with academic administration setting and hierarchy, and ability to conduct DGO business in a highly structured and stratified work environment.

4)Writing skills commensurate with production of official DGO communications.

5)The ability to perform accounting and financial transactions in accordance with DGO needs.

Preferred qualifications include:

1)Maset(and above) degree in one of the natural sciences

2)Technical proposal writing skills

3)Experience with website design and/or maintenance 

4)Prior administrative experience in an academic setting

The position is a soft money position hired by the College of Ocean and Earth Sciences, salary negotiable.
